Backup

The Fake Chicken Company runs an automatic nightly backup for the MXtreme server, HennyPenny File and Print server (configuration and data) and Exchange server.  This is initially backed up to a separate directory on the File and Print server and then duplicated to tape.  The in-house applications and Web server are backed up on a weekly basis and this backup is performed manually by the IT system administrator.  The automated backups are performed using Microsoft backup software and are scheduled daily from Monday to Friday.  Daily backup tapes are archived in the fire proof safe located within the secure server room. There are 5 Friday Tapes and these are cycled to provide a weekly backup.  A monthly tape backup is performed on the last working day every month and this is taken offsite and stored at 25 Featherston Street as a disaster recovery precaution.  Monthly tapes are kept for six months and then overwritten. 

HennyPenny is the main domain controller for The Fake Chicken Company’s network and contains user information, security settings and access permissions for the network.   

Backup reports are checked each day to ensure the backup procedure has been successful and an exception log must be kept where the status is anything other than “completed successfully” detailing why the backup failed.  All exceptions/failures are to be followed up as soon as possible. 

A test restore must be carried out regularly on a monthly basis to ensure backups are valid. 

Procedure for restoring after loss 

Data is recovered from the backup directory on HennyPenny in the first instance, but in the event this is unable to be accessed then the most recent backup tape.  In the event the tape is corrupted and/or data is not able to be retrieved, the next most recent tape is used.  It is possible to go back 4 days using Monday to Thursday daily tapes, 5 Fridays using the cycled Friday tapes and 6 months using the monthly tapes kept offsite.  Should the whole system be lost, systems and data for The Fake Chicken Company internal systems must be fully recoverable from these backup tapes.  Systems and data hosted for external customers must also be recoverable in the same way.  External customers should be notified as soon as practicable when a system they rely on becomes unavailable and a restore procedure is needed. 

Procedure for Performing a Restore Operation. 

1.     Locate the tape corresponding to date you want to restore from and place it in the DAT Drive.

2.     From the Server Console click on the xyz backup management icon.

3.     Click on the Restore Button and select the Restore from Tape option.

4.     Click on the tape id showing the date of the tape you have already placed in the drive.

5.     From the directory tree, select the Drive - the directory tree will expand.

6.     Next select the path and the document(s) you wish to restore.

7.     Select the Restore to Original Location Option or enter the path the document is to be restored to.

8.     Click the Restore Now option to start immediately or if the Restore Procedure is to be scheduled later then select the Schedule Restore option.

9.     The tape drive should activate and start locating the file.  You can view the restore progress by clicking on the Activity Monitor button.  This will show a status of successful and display the name of the file and the path restored to once the operation has finished.

Providing a temporary Server

Contact Betta Computers regarding a loan server which can be used until it is established whether HennyPenny can be re-established or a replacement server can be built in-house.  The ChickyDee machine can also be used as a backup server in the event of an emergency or machine failure. 

Archiving 

Should it be necessary to permanently archive electronic data the storage media used must be appropriate to the expected longevity of the information.  The format in which the data is stored is important especially where proprietary formats are used.  All  long term document archives must be copied to CD. 

Archived material must be kept in the fireproof safe and vital documents offsite at Featherston Street. 

1.     Prepare list of data to be archived using the Archives Document Retention Form.  Documents must not have been accessed or used during the previous 12 months.

2.     Entries on the list must be signed off by the Information Owner, the Information Custodian and a Senior Manager.

3.     Move the documents to be archived to a temporary storage area on HennyPenny.

4.     Once sign off formality has been complete copy the data to CD.

5.     Name the CD using the next available consecutive number in the Archive Retention Schedule.  Ensure the CD label also records the date and ID of the CD together with the page number reference of the Archives Document Retention Form.

6.     Archive the last daily backup tape in the fireproof safe so that these documents can be easily restored in the event they are required.  The tape is to be named the same as the CD.

7.     Complete the Archives Document Retention Form with the date copied, identification number of the CD and the signature of the system administrator.

8.     The CD is sent offsite to 25 Featherston Street for safe storage.

9.     The Archives Document Retention Form is copied, one copy is sent to Filing to be incorporated into the corporate Document Retention Schedule and the other is filed by the IT Manager.
